9 New Virtual Event Features on Hopin (with Video Tutorials)

In addition to the news about TC Disrupt happening on Hopin, we're releasing a batch of exciting new virtual event features.

Most of these features are available on all plans and are ready for organizers to use with their events hosted on Hopin right now.

At Hopin, we aim to help event teams and organizers deliver the most seamless event experiences possible for all the participants in their events — attendees, partners, vendors, sponsors, speakers, and more. Your success is our success — so here are nine new virtual event features to make your jobs easier.

1. Introducing Hopin's new tagging system for speakers, schedules, sessions, and booths

You can now add tags (i.e., browsable categories) to Hopin to make filtering and browsing through areas such as sessions and booths easier for attendees. Tags help with organization and navigation of your event, especially when you have numerous items in an area of your event.

Tags can be added to:

  • Schedule items
  • Speakers
  • Sessions
  • Expo booths

This feature is available on all plans.

2. No more empty expo booths with Hopin's new Fallback Provider feature

The new field "Fallback Provider" in expo booths now lets you show secondary content when a booth with Sessions is empty. In other words, when the moderator isn't live in the booth, the Fallback Provider (YouTube video, Google Slides, etc.) will display.

Also, booth moderators are now alerted when someone enters their booth.

Note: this feature works only when the booth is toggled to "live."

3. Know when attendees enter your booth

Booth moderators and organizers are notified when an attendee enters their booth. 

The notification message appears above the chat for a matter of seconds before disappearing. 

Note: This notification displays only when the booth is set to live sessions, not presentations or pre-recorded video.

4. New Schedule uploading tools, including the option to link externally

It's no longer time-consuming to build out a schedule in Hopin, especially for multi-day events.

Now you can upload your schedule with a CSV, using the template available for download under the Schedule tab.

Also, if you are using anything external as a part of your event programming, you can add the link to your Hopin schedule.

This will make the schedule segment "card" clickable, and it will open a new tab with the URL.

Note: the segment only becomes clickable when it is at the scheduled time.

5. New reports, data, and analytics improvements

We've made some recent housekeeping improvements to the organizer side of Hopin. There's plenty more to come, but here's what's new.

  • The Summary page has been merged with the Overview page in your event dashboard (they were duplicates).
  • Reports moved from the organizer dashboard to the event dashboard (scroll down on the left panel), where you can download all of the data reports from your event in one place. See the screenshot below.

Also, we added the following data to your event overview dashboard:

  • Turnout — See the number of people who actually showed up and participated at your event on the right side under "Turnout."
  • 1-on-1 Meetings — See the number of attendees who matched in the Networking area and via direct invitations.
  • NPS — Find out the average rating that attendees gave your event on a scale from one to ten.

Note: We temporarily removed some widgets (i.e., unique page views, visitors by country, referrer, device and browser graphs) for maintenance and improvement — these will be back soon!

6. Organizers have the option to block attendees

When the person is blocked, their session ends immediately and they cannot enter the event.

To block someone, go to their profile in the event and select "Block this person." They will receive a message (screenshot below) and a prompt to contact the organizer. Clicking "Contact organizer" will open an email to the organizer.

Organizers can unblock the attendee from the View Attendees tab in their event dashboard any time during the event.

This feature is available on all plans.

7. Restrict Stage access to certain ticket holders

Organizers can limit who can watch a Stage by setting the "Who can watch" field to specific ticket types. This means you can offer tickets with varying levels of access, for example: General Admission may have access to Sessions or Stage 1, but VIP will have access to Sessions, Stage 1, and Stage 2, where there is premium content. This may sound familiar because it's also an option for Sessions — however, now you can apply the same level of value segmentation and ticket tiering with Stages.

8. Make any session private (i.e., invite-only)

As you may know, Sessions in Hopin can have rules for who can watch and who can join them. This feature adds the ability to make private sessions viewable only to certain individuals. Meaning, if you want to make a private session but only let attendees watch (not participate on camera), you now have that option.
